NexaFlow Terms of Service

These terms apply to NexaFlow trials and paid software subscriptions. By creating an account or purchasing a subscription, the customer confirms that they are authorised to act for the named business and accept these terms.
Available products
- NexaFlow Cellphone POS: mobile point of sale for a compatible cellphone, available with or without payroll.
- NexaFlow Normal POS: the complete till, cashier and back-office system, available with or without payroll.
- NexaFlow Payroll Only: employee records, payroll calculations and employer-reviewed payslips without POS.
Features not listed on the public pricing page are under development or privately controlled and are not included in a customer subscription.
Trial and subscription
The free trial lasts 7 days and requires no card or payment. It does not convert automatically into a paid subscription. Paid access begins only after the customer selects a plan and completes an authorised payment.
Customer responsibilities
- Provide accurate business, product, employee and transaction information.
- Keep sign-in credentials confidential and restrict access to authorised users.
- Supply and maintain compatible hardware, power, connectivity, backups and source records. For desktop use, the latest supported and fully updated version of Microsoft Windows with a current web browser is recommended. Cellphone users require a compatible, updated smartphone and browser.
- Verify prices, stock, receipts, payroll inputs, PAYE, UIF, deductions and payslips before relying on or issuing them.
- Use NexaFlow lawfully and not for fraudulent, prohibited or unauthorised activity.
Payroll limitation
NexaFlow assists with payroll preparation; it is not an employer, accountant, tax practitioner or legal adviser. The employer remains responsible for employee information, statutory calculations, submissions, payments and compliance.
During the free trial, the customer may test payroll with additional employees. After the trial, the paid POS & Payroll subscription includes payslip generation for the first three active employees. If more capacity is needed, NexaFlow will display the applicable employee package and price for the customer to accept before Paystack payment. The package is activated only after payment is verified, after which the system generates an invoice or receipt. No package is charged automatically.
To protect payroll records, an ID or passport number may not be captured more than once in the same company. If an active confidential record requires verification across workspaces, NexaFlow will not reveal the other company and may require review or deactivation of the previous record before activation. Attempts and deactivations may be recorded in a security audit log.
Pricing and changes
Current standard monthly package prices are displayed on the NexaFlow pricing page and during trial registration. The customer is shown the applicable price again before choosing whether to continue and before payment. Wilsons Technologies CC may introduce, change or discontinue plans prospectively. A price change will not alter an already paid billing period and will be communicated before the next affected payment.
Online and offline operation
NexaFlow is a cloud-synchronised system with offline continuity for cashier sales and supported back-office records on an approved, previously connected device. Internet or mobile-data connectivity is required for initial access, account and application updates, cloud synchronisation and third-party-dependent services. Eligible offline sales and supported back-office changes may be stored locally on the approved device and submitted automatically for synchronisation when connectivity returns.
The customer must review synchronised records and resolve any conflict or duplicate. Offline data may be unavailable if browser storage is cleared, blocked or damaged, or if the device is lost, replaced or reset. Where a standalone speed-point terminal is used, the cashier must obtain approval on that terminal and then select Card in NexaFlow. A POS-integrated terminal may be used only where a supported integration has been confirmed and activated. NexaFlow does not itself authorise bank-card payments while offline.
Availability and changes
Reasonable efforts are made to keep the service secure and available. Maintenance, connectivity failures, third-party services and circumstances beyond reasonable control may interrupt access. Features may be improved where this does not remove a customer’s paid core service without appropriate notice or remedy.
Cancellation and refunds
The Cancellation Policy and Refund Policy form part of these terms. Applicable rights under South African law are not excluded.
Acceptable use and suspension
Access may be restricted or suspended to address security threats, unlawful use, fraud, non-payment or material breach. Where reasonably possible, the customer will be notified and given an opportunity to remedy the issue.
Privacy and ownership
Personal information is handled under the Privacy and POPIA Notice. Customers retain ownership of their business content. NexaFlow software, branding and underlying intellectual property remain the property of Wilsons Technologies CC or its licensors.
